BrokerKnight Privacy Policy

This Privacy Policy explains how BrokerKnight collects and uses information when you use our app or website.

How We Use App Data

We use account, contact, transaction, document, message, and technical information to provide BrokerKnight services, support real estate transactions, secure the platform, communicate with users, and meet legal and compliance obligations. We do not sell personal information.

Data Retention and Deletion

We retain information only for as long as needed to provide our services and maintain required transaction, legal, security, and audit records. You may request access, correction, or deletion of your personal information where legally permitted; some records may need to be retained to meet legal or brokerage obligations.

Google API Services User Data and Gmail Access

BrokerKnight's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. BrokerKnight requests only https://www.googleapis.com/auth/gmail.send to send emails that a user intentionally composes in BrokerKnight through the connected Gmail account, and https://www.googleapis.com/auth/userinfo.email to identify and display the connected mailbox.

BrokerKnight does not read or synchronize Gmail inboxes, retrieve Gmail messages, import email bodies, headers, or snippets from Gmail, read incoming replies, modify Gmail messages or labels, or create Gmail drafts automatically. The connected Gmail address returned by Google's userinfo.email scope is used only to identify the authorized mailbox and is not submitted to OpenAI. BrokerKnight does not send Google API data, including Gmail or Calendar content, to OpenAI or use it for AI-assisted features. Google Calendar content is not accessed or used for AI.

AI-Assisted Features and BrokerKnight Data

BrokerKnight offers an optional “Draft with AI” tool in the CRM. When an agent explicitly requests a draft, BrokerKnight may submit the agent's current unsent draft together with BrokerKnight-native contact notes, preferences, contact name or company, linked transaction context, and prior locally composed outbound correspondence for that contact. BrokerKnight does not submit contact email addresses, inbound or Google-mailbox-derived correspondence, recipients, sender information, Gmail identifiers, attachments, or Google API data to AI providers.

The AI response is returned to BrokerKnight as an unsent draft for the agent to review. AI providers do not send messages on the agent's behalf. A message is sent through the connected Gmail account only after the agent explicitly clicks Send. AI requests are not made automatically merely because Gmail or Calendar is connected.
